Congress Guidelines

When will the congress take place?

The 1st International Congress of Vaccine and Vaccination will be held on 16–17 December 2026.

Where will the congress be held?

ICVV 2026 will be held in person at Milad Tower, Tehran, Iran. Virtual participation will be available exclusively for international participants residing outside Iran.

What are the registration deadlines?

Registration for ICVV 2026 is organized according to the following timeline:

Early Bird Registration: until 22 July 2026
Standard Registration: until 22 October 2026
On-site Registration: 16–17 December 2026

How can I register for ICVV 2026?

Participants can complete their registration through the online registration form available on the official ICVV website.

What are the registration fees?

The following table shows the congress registration fees based on registration category and registration period.

How can I reserve a hotel room, and what are the accommodation rates?

Participants may reserve accommodation using the hotel and accommodation information provided on the official ICVV website. For further details, please visit the Hotel Information section of the congress website.

What does the registration fee cover?

For in-person participants, the registration fee includes:
• Access to scientific sessions, poster sessions, and exhibition areas
• Congress kit including name tag, congress program, and Abstract Book
• Coffee breaks and lunch during the congress days
• Official certificate issued by the Organizing Committee
• Free participation in educational workshops after completing the registration process

Note: Participants registered under Listener or accompanying categories are not allowed to present papers in oral or poster sessions.

Are there any discounts for group registration?

Yes. Group registration discounts may be available. For further information and discount codes, please contact the Congress Secretariat at icvv1405@gmail.com.

What is the cancellation and refund policy?

• All cancellation requests must be submitted in writing via email to the Congress Secretariat.
• Cancellation requests submitted more than 90 days before the congress may be eligible for refund according to the official financial regulations and the Secretariat policy.
• For ICVV 2026, this applies to eligible requests submitted on or before 16 September 2026.
• From 17 September 2026 onward, registration fees are non-refundable; however, registration may be transferred to a future edition of the congress upon approval by the Organizing Committee.
• Registration transfer to another person is possible until 15 November 2026.
• Refunds will be processed in the second week after the completion of the congress.

Note: The cancellation and refund policy will not apply if the congress is postponed due to natural disasters, force majeure, or circumstances beyond the organizers’ control. In such cases, the registration fee may be transferred to the rescheduled date or a future edition of the congress.

How can I receive my registration payment receipt?

The payment receipt will be provided by the Congress Secretariat after registration is completed. In case of any issue during the payment process, please contact the Congress Secretariat through the Contact Us section.

What are the abstract submission deadlines?

First Round of Abstract Submission: until 21 June 2026
Second Round of Abstract Submission: until 22 September 2026
Final Abstract Submission Deadline: until 6 November 2026

How can I submit an abstract?

Authors can submit their abstracts after completing registration through the official congress website using the “Submit Abstract” or “Submit Paper” option in their user dashboard.

Where can I submit my abstract on the website?

Abstract submission is available through the Abstract Submission Portal in the authors’ user dashboard on the official congress website.

Is there a specific template for abstract submission?

Yes. The abstract submission template will be available in the Paper Submission or Submission Guide section of the congress website.

May I submit more than one abstract?

Yes. Authors may submit more than one abstract and may participate in more than one session as oral or poster presenters, provided that the submitted works are approved by the Scientific Committee after peer review.

When will I be notified of abstract acceptance?

Abstracts will be reviewed by the Scientific Committee. Acceptance notifications will be sent after completion of the review process. If you do not receive a notification, please contact the Congress Secretariat.

How much time is allocated for an oral presentation?

Each oral presentation will be allocated approximately 10 minutes, including the question-and-answer session.

How much time is allocated for a poster presentation?

Each poster presentation will be allocated approximately 10–15 minutes for presentation and discussion. The exact timing will be announced according to the final scientific program.

What is the official language of the congress?

The official and working language of the congress is English.

Can I use my personal laptop for presentation?

Due to the congress schedule and technical arrangements, using personal laptops is not recommended unless necessary. Presenters are advised to coordinate with the technical team before their presentation time.

Can the organizers provide an official invitation letter for visa application?

The congress organizers can provide an official invitation letter upon request to support visa applications for registered international participants.

What should I check before traveling to Iran?

International participants are responsible for ensuring the validity of their visa, passport, and travel documents before traveling to Iran.
